Do the steps below and your income goes up, consistently. This setup ran 450 lawns. It's built for owner-operators who want a better hourly rate, not just more lawns.
One rule first. This only works if you're at least three-quarters full. If your books aren't there yet, put your energy into getting there. Once you have the density, this becomes your best tool for profit.
Open the template in Google Sheets (free Google account needed), then click File, Make a copy to save it to your own drive.
For every job: client name, address, price per cut, start and finish time, cut frequency, and distance from home. Keep the status, payment and cut cycle up to date as you go so the numbers stay honest.
The sheet works out your average hourly rate, your travel time, and your best and worst paying jobs, coloured green to red. Use it to decide which lawns get a price rise and which ones you drop.
Print or screenshot the daily job sheet and take it with you. It shows what's due, what's paid and what needs attention today.
Record each cut and payment. The balance works itself out per job so you always know who owes you what.
Two calendars: one for lawns, one for quotes. Enter jobs as repeating events on your mowing cycle, and put the customer's name, address and phone number in the event so you have it on the go.
Repeat every 1 or 2 weeks. Green for mowing, yellow for quotes. Leave 15 minutes between jobs for travel and loading.
Go to RouteXL, paste in the day's addresses, set your start and finish, and it gives you the shortest route. Send it to Google Maps for directions.
When the phone rings, get: name, address, phone number, do they have a dog, and how they found you. Write it down straight away.
If Google Calendar shifts your events, duplicate them and mark them as one-offs. Use the Sheets and Calendar apps on your phone for editing on the go.
